Job Description
- REPORT TO: Assistant HR Manager/HR Manager
Job Purpose
Under the general guidance of the Head of Human Resources, be responsible for supporting the HR team on the day to day HR administration and operational activities.
Additionally, assist in the implementation of policies and procedures in accordance with the hotel’s standard and procedures and to ensure that staffing needs are met in a timely manner.
Key Responsibilities
- Serve as first point of contact to employees, answer questions and address concerns on all HR related day-to-day matters.
- Compiling attendance / absence data and assist in monthly payroll processing.
- Coordinating staff transportation to and from work as per regular schedules of reporting and closing.
- Compile and maintain efficient data on staff and ensure regular updates. (hard and softcopies)
- Updating salary and benefits information.
- Welcome new employees to the organization by ensuring the necessary procedures are performed as per orientation procedure.
- Ensure processing and completion of all relevant forms upon appointment of new staff.
- Maintain and develop the filing system of all personnel issues.
- Coordinate HR projects (meetings, training, surveys etc.) and take minutes.
- Assist in the Recruitment and Selection process by informing selected candidates of their interview dates, time and venue, preparing CV summaries for various roles and interview packs for the panellists and ensuring that the interview room and resources are ready.
- Assist in compiling monthly departmental report.
- Keep all leave and sick records of all employees up to date.
- Assist to perform criminal background and reference checks on candidates as required by the company.
- Explain and provide information to staff on benefits, programs, and illegibility criteria.
- Compile statistical reports concerning personnel-related data such as new hires, employee exit, transfers, headcounts, turnovers attendance and absenteeism rates and submit monthly reports for management review or whenever required.
- Collect data from various sources, including HR database and produce regular reports, including headcount, turnover etc. for management decisions.
- Assist to respond to HR systems queries in a constructive and timely manner.
- Assist team in performance management and employee evaluation.
- Collaborate with line managers to design weekly and monthly duty rosters for employees.
- Liaise with internal and external business interfaces and partners such as GTA, EPA, Fire Service, SSNIT, Tier 2 and provident fund managers to ensure compliance and updates records as such.
- Provide advice and support on a regular basis to managers and staff on a wide range of operational human resource issues.
Essential Requirements
- Ensure confidentiality is maintained at all times and provides information only to those with a need to know.
- Follow all relevant health and safety regulations
- Any other duties that may be requested by team lead or management.
Work Relationships
- Direct Reports: Trainees/Interns
- Coordinates with: All departmental heads and staff within the hotel.
Required Skills or Experience
Qualification/Skills
- A Bachelor degree in Human Resources or Social Sciences related subjects.
- At least 2 years of experience in a 3, 4 or 5-star hotel in the same/similar field.
- Confidence in working independently and part of a team.
- Strong organizational skills with flexibility to respond to a range of different work situations.
- Effective written and oral communications skills including the ability to prepare reports, policies and procedure.
