Job Description
PURPOSE
The Executive Associate will provide high-level administrative support to senior executives for the efficient operation of the leadership team. S/He will play a key role in coordinating day-to-day activities, facilitating communication, and ensuring the smooth execution of executive priorities.
MAJOR RESPONSIBILITIES
- Schedule Management: Overseeing the CEO and Key management’s daily schedule, including appointments, meetings, and travel arrangements
- Administrative Support: Assist senior executives with scheduling, calendar management, meeting coordination, and travel arrangements.
- Communication: Serve as a liaison between senior leadership and internal/external stakeholders, ensuring timely and professional communication with the Board, Bank of Ghana and company secretaries.
- Document Preparation: Draft, review, and edit reports, presentations, and other documents as needed for executive meetings and client interactions.
- Project Management: Coordinate and track ongoing projects, ensuring deadlines are met and providing updates to leadership on progress.
- Confidentiality Management: Handle sensitive information with discretion and confidentiality.
- Client and Vendor Relations: Assist in managing relationships with clients, vendors, and partners, ensuring that meetings and interactions are scheduled and executed smoothly.
- Office Management: Support the executive team with office-related tasks, including maintaining office supplies and ensuring operational efficiency.
- Event Planning: Coordinate corporate events, meetings, and conferences, ensuring logistics, materials, and communication needs are addressed
- Problem Solving: Anticipate needs, address challenges, and proactively find solutions.
Safeguarding Responsibilities
- Establish a safeguarding culture across all levels of the programme by implementing the safeguarding policy. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment.
- Responsible to ensure team members are appropriately trained, supported and have access to resources regarding issues that are identified and actioned in accordance with the safeguarding policy and procedure.
- Follow the safeguarding reporting procedure in case any reportable incident takes place, encourage others to do so
Required Skills or Experience
EXPERIENCE (Including sector/industry)
- Minimum of 3 years of experience in an executive support or administrative role, preferably in the financial services or banking sector.
- Experience with banking or financial services industry practices, including savings and loans operations.
- Knowledge of project management tools and systems.
- Experience in managing complex calendars and scheduling for senior executives
KNOWLEDGE, SKILLS & COMPETENCIES
- Time Management: Excellent ability to prioritize tasks, meet deadlines, and manage a demanding workload effectively.
- Communication: Strong verbal and written communication skills, with the ability to articulate ideas clearly and professionally across different levels of the organization and with clients.
- Confidentiality and Discretion: Ability to manage sensitive information responsibly, understanding the importance of confidentiality in a financial services environment.
- Problem Solving: Ability to assess situations, identify issues, and provide solutions that align with organizational goals.
- Project Management: Experience in organizing and managing multiple projects, tracking progress, and ensuring projects are completed within scope and on time.
- Technology Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and familiarity with project management tools (e.g., Asana, Trello) or CRM systems.
SPECIFIC EDUCATIONAL/PROFESSIONAL QUALIFICATION
- Degree: Bachelor’s Degree
- Concentration / Major: Business Administration, Finance, or related field
