Job Description

  • Reports To: Senior Administrative Officer

 

Global Communities, a Non-Governmental Organization is seeking an experienced professional to fill the position of Administrative Assistant.
 
ESSENTIAL DUTIES AND RESPONSIBILITIES
The Administrative Assistant will perform administrative and general clerical duties with some of the main duties being:
  • Record keeping, filing, faxing, scanning, photocopying and mailing.
  • Schedule vehicles for program officers and field activities and provide logistics support for same
  • Take and distribute minutes of meetings.
  • Answer telephone, screen and direct calls.
  • Arrange and confirm appointments, take and relay messages, mails, &correspondence for the office.
  • Meet, greet, and assist clients/visitors and ensure that they are provided with ID tags and sign in the visitors’ logbook.
  • Stay abreast with staff movements in and out of the organization by keeping information on the movement notice board updated.
  • Ensure that the front office/desk area is kept tidy and clean at all times.
  • Keep and update inventory of all items in the E-WASH program office stores.
  • Liaise with the Senior Administrative Officer on any other duties assigned.

Required Skills or Experience

  • Bachelor’s degree in administration, social sciences or related discipline
  • 2 years’ clerical/administrative work experience with an NGO or on a donor-funded program
  • Proficiency in English
  • High degree of discretion and initiative especially when dealing with confidential information
  • Computer literacy in MS Office Suite, and ability to use modern office equipment (scanner, photocopier, projector, etc.)
GENERAL REQUIREMENTS
  • Pleasant disposition and ability to remain professional and polite even under pressure
  • Excellent organizational and time-management skills 
  • Strong interpersonal and communication skills; report writing skills
  • Ability to work in a team-oriented setting or independently when necessary
