ABOUT THE ROLE
This role requires communicating with suppliers, creating purchase orders, importing, processing, and checking orders, contacting internal customers as necessary, and supporting the Procurement Supervisor.
FUNCTIONAL DUTIES AND RESPONSIBILITIES
- Analyze the requisitions from all departments for purchases that will be made locally or purchases that will be imported taking project timelines into consideration.
- Source for goods and services from credible and appropriate suppliers while maintain ethical and responsible sourcing that are in accordance with company statues.
- Create appropriate purchase orders for suppliers, including purchasing analysis, item identification ensuring all purchases are in line with statutory and company requirements.
- Ensure orders adhere to supplier agreements and contracts, report non-conformance.
- Manage external customer order acknowledgement process using appropriate tools.
- Prepare order tracking schedules for all purchases.
- Resolve supplier pricing discrepancies and conflicts.
- Contact internal customers as needed for order corrections or clarifications.
- Manage, review, and monitor the procurement process of all orders until they are closed.
- Interface with Manager to plan and priorities purchasing activities.
- Coordinate with Finance on order payments and regularization of order transactions
- Arrange for appropriate modes of delivery of items purchased while considering cost effective methods.
- Handle relationship with suppliers to ensure satisfaction of both parties. Involve other stakeholders as and when required.
- Develop and maintain the company's supplier database in respect of all conditions of engagement.
- Advice management of supplier performance and proposes new and discovered suppliers for consideration by management.
- Jointly undertake supplier audits
- Coordinate testing of goods, hand over goods to appropriate stakeholder
- Perform any other duties as assigned.
- Must uphold the Quality Management System (QMS) and work in conformance with the roles as specified in the Departmental Manual

- Effectively contribute to the delivery and achievement of the department’s management objectives
HEALTH, SAFETY, AND ENVIRONMENT RESPONSIBILITIES
- Understand fully, the importance of an effective OHS & EMS culture
- Promote a continual improvement of OHS & EMS activities.

Required Skills or Experience
EDUCATIONAL REQUIREMENT & EXPERIENCE
- HND or Bachelor’s Degree in Purchasing and Supply, Supply Chain Management and other related field.
- A minimum of two (2) years’ experience in a similar role.
SKILLS & ABILITIES
- Knowledge of procurement processes, policies and procedures
- Strong emphasis on accuracy and detail
- Ability to handle multiple projects simultaneously to meet goals and deadlines
- Proficient in Microsoft Office programs, such as Excel
- Good time management and organizational skills
- Basic mathematical knowledge
