Job Description

PURPOSE OF THE JOB 
Transportation Manager plans, organizes, directs, manages, evaluates, and is responsible for the operations and budget of transportation unit. He/she is responsible for the transportation and movement of people and goods. This position includes the identification of opportunities for transportation operation improvements.
 
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
  • Monitor operations to ensure that staff comply with administrative policies and procedures, safety rules, union contracts, and government regulations.
  • Plan, develop, organize, direct, manage, and evaluate the operations and budget of transportation departments or transportation companies.
  • Group Reporting
  • Develop key performance indicators to measure the effectiveness of the transportation operations
  • Direct the activities of staff in relation to transportation operations including dispatching, routing, and tracking transportation vehicles
  • Work with international carriers and freight forwarders to streamline the flow of goods across international borders and through customs.
  • Liaise with the QSHE department Plan, develop, and implement transportation health and safety, and security programs and activities.
  • Monitor operations to ensure that staff comply with administrative policies and procedures, safety rules, union contracts, and government regulations.
  • Direct and manage corporate governance and regulatory compliance procedures related to transportation activities.
  • Negotiate with carriers, warehouse operators and insurance company representatives for services and preferential rates.
  • Conduct investigations to determine causes of transportation accidents and to improve safety procedures
OTHER DUTIES AND RESPONSIBILITIES
  • Develop and implement profit improvement plans and change management plans.
  • Work with international carriers and freight forwarders to streamline the flow of goods across international borders and through customs
  • Minimizing disruption and resolving any unscheduled delays, having to make decisions in difficult situations;
  • Identifying existing and possible future transport problems, developing transport models and investigating the feasibility of alternative means of transport.
  • Introduce and maintain quality control procedures

SUPERVISORY RESPONSIBILITIES

  • Monitor Inventory and Stock level for all departments
  • Monitor the use of tools and logistics
  • Ensure that staffs do not litter and the warehouse.
  • Maintain open dialogue with other department managers to coordinate activities and improve performance and productivity .
GENERAL DUTIES
  • Any other duties that may be assigned.
KEY PERFORMANCE INDICATORS
  • Vehicle request response and schedule time- Within 24 hours.
  • Vehicle utilization –The percentage of time that operational vehicles are unavailable for use due to minor or major accident, idleness etc. 95% Vehicle utilization is required.
  • Deviation from estimated fuel consumption per mile per kilometer of all vehicles. 99% is required for this KPI
  • Fleet Size and mix. This KPI deals with the review of all operational requirements to confirm the type and the number of vehicles required for specific business needs.
  • Reduction in monthly operational cost per mile per hour.
  • Responsiveness to weekly and monthly reporting times.
  • Vehicle off road time with respect to rented Vehicles. - 4 hours is accepted.
  • Individual and average cost of hire vehicles per number per project and operational activities.
  • Adherence to preventive Maintenance per required mileage per Vehicle, all HSE laws and regulations, Sectorial laws and the Laws of Ghana.
  • Stakeholder Management.
  • Meeting the KPI specifications
  • Compliance to health and safety processes and regulations – 100%

Required Skills or Experience

MINIMUM REQUIREMENTS / QUALIFICATION
  • Degree in logistics management , or Electrical or Mechanical Engineering.
  • Additional qualification via specialization supply chain are beneficial
  • Driver License.
  • Specialized training in transportation management systems is considered an asset.
  • Certification as an operator of a particular mode of transportation is usually required
EXPERIENCE
  • At least progressive three (3) years’ experience
  • Experience in the telecom sector will be an added advantage.
KNOWLEDGE
  • Good knowledge of Handling of Hazardous Tools and materials.
  • Extensive knowledge of the transportation industry.

  • Computer literate (Microsoft Windows & Microsoft office).

  • Good people management and coordination skills.

  • Excellent geographical knowledge of Ghana.
