Job Description
- Reports To: Accounts Manager
- Working Relationships: All HODs, managers and departmental/unit leads/supervisors.
Job Purpose
The Stores Supervisor will oversee and direct the daily activities, schedules, and assignments in storage, inventory, and distribution of food stuffs, materials and working tools.
Job Duties & Responsibilities
- Responsible for supervising, coordinating and participating in the activities of store officers.
- Oversees receipt of incoming goods and recording of same.
- Generates the order requests to the purchasing department in cooperation with the other department heads.
- Ensures all requisitions are approved by an authorized person before issuance of the goods.
- Oversees and approves the daily internal distribution of goods in the hotel stores and ensures goods are distributed following the First in First out (FIFO) concept where applicable.
- Communicates potential shortages or excess inventory of goods to department heads and ensures that these variances do not negatively affect guest satisfaction, operational budgets or storage procedures.
- Addresses variations of quality and/or quantity of deliveries with the purchasing department.
- Monitors cost and quality and consistently strives to reduce breakage and wastage.
- Monitors maintenance requests for non-functional equipment and any other topics affecting the hotel stores operation and ensures are resolved in an acceptable timeframe and communicates delays to his supervisor and the department head responsible to resolve the problems
- Executes physical inventories and inventory spot checks with the hotel stores team and in cooperation with the Accounts Manager as per inventory schedule.
- Assists in reporting the level of all store items, in maintaining a suitable par and to review the par level from time to time.
- Assist the cost controller in the monthly inventory for store.
- Ensures daily record of temperatures for chillers in the store.
- Ensures all requisitions are approved by an authorized person before issuance of the goods.
- Performs other related duties as may be assigned

- Proficiency in MS Office (Excel / Word) and experience with Materials Control Systems
Qualifications, Requirements and Experience
- Minimum of HND in Purchasing & Supply or in a related field.
- Excellent knowledge and experience in Public Health rules and regulations related to Ghana and Hazardous Analysis Critical Control Point (HACCP).
- Basic understanding of inventory and cost control practices.
- Ability to work independently, prioritize tasks based on urgency and work through high volume and stressful time periods.
- Must be flexible and can work under pressure in a fast-paced work environment.
- Innovative and open minded.
- Superior knowledge and experience of storeroom operation and procedures, as well as the handling of perishable goods.
- Strong product knowledge of Food & Beverage, Consumables, Durables and Equipment items required to operate Hotel catering operations.
