About The Role
We are seeking a proactive and experienced Human Resources & Administration Manager to lead our HR operations and ensure smooth office management. You will play a key role in fostering a positive work environment, managing employee relations, talent acquisition, payroll, performance management, and compliance. The ideal candidate should be people-oriented, business-savvy, and well-versed in Ghana's labor laws and compliance standards.
Key Responsibilities
- Manage end-to-end recruitment processes, including sourcing, screening, interviewing, training and onboarding of new hires.
- Develop effective recruitment strategies to attract top talent.
- Timely completion of reports on the hiring funnel and its presentation to mid-level and senior-level management.
- Collaborate with Line Managers is setting deliverables for employees in line with the organisational objectives.
- Conduct performance appraisals in partnership with line managers and provide feedback.
- Act as the primary point of contact for employee grievances, ensuring a fair and timely resolution, and implement disciplinary procedures.
- Provide documentation, tracking the process, reviewing assignments, conducting hearings, preparing and presenting terms and conditions of dismissal.
- Foster positive employee relations and manage conflict resolution when necessary.
- Oversee the management of leave requests and maintain accurate attendance records. Ensure compliance with leave policies and provide necessary guidance to employees. Timely updating of all necessary documents, presentations and files.
- Supervise payroll processing, ensuring timely and accurate payment of salaries.
- Oversee statutory deductions and compliance with tax regulations.
- Coordinate office supplies and supervise administrative staff to ensure efficient day-to-day operations.
- Handle vendor relations and office maintenance as required.
- Ensure adherence to Ghana’s labor laws, including compliance with employment standards, safety regulations, and other legal requirements.
- Provide counsel on labor law issues and advice on HR best practices.
- Maintain constant communication with mid- and senior-level management and communicate issues, changes and needs in a timely manner.
- Maintain accurate classification and up-to-date human resource files, records, and personnel documentation.
Expected Results / KPIs:
- Hire at least 10 new commission agents per month.
- Weekly reports on the hiring funnel (in figures and details), to be submitted every Monday
- Maintain active monthly ads for hiring commission agents on five different platforms.
- Submit a report on hiring results (funnel figures and hiring details) from the 1st to the 3rd day of each new month.
- Conduct an anonymous survey of employees in the Ghanaian office every three months to assess HR performance.
Required Skills or Experience
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- Minimum of 3 years of experience in a similar role, preferably with exposure to an international organization.
- Membership in a recognized HR professional body (CIHRM/SHRM/HRCI) is preferred.
- Strong knowledge of Ghana’s labor laws and regulatory compliance is required.
- Excellent interpersonal, communication, and problem-solving skills.
- Computer proficiency. Ability to use Microsoft Office/Google Workspaces.
