Objective of the Assignment
The Service Provider (SP) will be responsible for the provision of logistics services, and generally facility management activities services.
Facility Management and Logistics systems
The SP’s assignment ranges from logistics, technical and facility management of various office facilities, equipment and accessories, in co-ordination with other service providers, and working together to complete orders and deliver materials on a timely basis.
The service provider shall perform management and logistical services that are normally performed in connection with the on-site operation of similar Facilities,
Fleet fuel Management and Maintenances
The service provider shall support vehicle fuel management and monitoring. As well as provide technical advisory in the vehicle fleet management and maintenance services on a long-term basis, working closely with the Operations Manager in recognized garages to optimize the integration of maintenance of vehicle, so as to ensure the smooth functioning of all fleet services.
Carbon Audit
To serve in the role as Carbon Footprint focal Point person for SNV in Ghana country office. This will include supporting with SNV Ghana annual emissions data collection for calculating SNV’s Global Carbon Footprint linked to Global Risk and Compliance. This information will be used to extrapolate SNV’s Global Carbon Footprint, to attain net zero carbon emissions as an organization and to advise on Carbon Reduction Strategy.
Estate Management
The service provider shall coordinate and liaise with SNV various Landlord. This ranges from managing the personal property, equipment, responsibility, maintenance, utilization and act as a liaison between the owners and the actual tenant/lease tenant in execution. The service provider shall be responsible for liaising with SNV’s various Landlords on technical aspects of agreement such as repairs and performing all maintenance on the building, appurtenances, and grounds of the Facility as required to be made. Obtain and be responsible for, review and administer tenancy agreement and preventative maintenance and controls, building systems, Electrical systems, Air conditioning, emergency generator, roof, interior and exterior, etc. with prior approvals.
Logistics and Procurement
The service provider shall support with material supplies, procurement and logistics processes, including ICT equipment’s and expendables base on ICT recommendations and client specified equipment’s and furnishings. This is done in total cooperation with the SNV’s needs specifications and standards amongst others, adhering to all SNV procurement process and donor regulations.
ICT Support Service
To advice on Technology and architecture management solutions. Supervise, Support and carry out oversight role on ICT consultant works and service provision.
Freight forwarding and Move Management
The service provider shall coordinate move processes, both local and international. In respect to shipment for goods, to facilitate various arrangements necessary to effect the timely and safe shipment of expatriate personnel from origin to destination in conjunction with reputable move companies of client’s choice and where appropriate on competitive choices. The Service Provider shall be the liaison between SNV and the SNV appointed agent on this assignment.
Protocol
The service provider shall liaise and coordinate with relevant state institutions such as Ministry of Foreign Affairs, GRA Customs Division and related agencies for required privileges entitlements and waivers as per SNV country agreements and other protocol activities for expatriate personnel. In relation to exemptions visas, permits, clearance of goods and team equipment’s.
Work Schedule
The Service Provider will provide this service four (4) within a working week, with time frame of 08:00am through to 5:00pm, being eight (8) hours a day.
The service provider shall provide support services remotely where necessary and as officially required and requested through the Operations manager.
Maintenance Service
When it is necessary for service provider to carry out remedial work on Saturday, Sunday or on official national Public Holidays, the scheduling of this will be agreed between the SNV and the Service Provider.
