Job Description

Terms of Reference for Provision of Cleaning Services, Accra and Tamale Offices.

Objective of the Assignment

The Service Provider (SP) will be responsible for the provision of Janitorial and Gardening for the Tamale office.

Profile Summary

SNV is seeking for a Service Provider to support its offices in Tamale and Accra with cleaning and gardening services. The Service Provider is responsible for ensuring proper cleanliness of the offices and the office environment premises. This would include and not limited to:

Clean of the various rooms within the office and the office premises areas; (Dusting, sweeping, mobbing, cleaning of air conditioners, washrooms cleaning etc).
Clean windows, glass partition, furniture, walls, office machines and other office equipments.
Cleaning of the conference room and arranging logistics in the conference room for meetings and workshops.
Assist with serving coffee/tea during meetings and workshop.
Assist in setting up, arranging and removing decorations, tables, chairs, ladders and scaffolding to prepare facility for events such as banquet and meetings.
Follow procedures for the use of chemical cleaners and power equipment, in order to prevent damage to floors and fixtures.
Tending the plants and grass of the office premises – Gardening
Mow and trim Lawns using mower and hand power trimmers to clear debris from ground.
Daily maintenance of the offices, ensuring regular flow of water.
Requisition of supplies and equipment needed for cleaning and maintenance duties.
Notify SNV management of occurring deficiencies or needs for repairs.
Follow all health and safety regulations.

The Services Provider will report to the SNV designated Operations officer within the specific office.

Time Frame

This assignment will be carried out over one year period from March 1st 2025, through to February 28th, 2026, on a Service Provision Agreement and extended by a further one year on the basis of mutual agreement.

Payment Terms

Payments under the contract should be carried out on monthly basis, after receipts and approval of invoice from the service provider.

Proposed service fee (on monthly basis).
Profile of personnel to be assigned to the various offices.
