Job Description

  • REPORT TO: Accounts Manager/Group Accountant

Job Purpose
The role's primary purpose is to oversee and manage accounts receivable processes. The Accounts Receivable Supervisor will ensure the company receives payments for services, records transactions, prepares invoices, follows up on payments, and resolves any discrepancies.

Key Responsibilities

  • Work with Sales and Front Office Teams to prepare and distribute customer invoices.
  • Contact customers through calls, emails, and letters for overdue invoices and arrange payment schedules.
  • Download daily revenue and collection reports from Opera PMS and upload into Sage 300 accounting syste
  • Confirm and record customer payments in the accounting system.
  • Maintain and update customer files with details such as contact number, mailing address, etc.
  • Prepare correspondence for overdue accounts, identify delinquent accounts, and initiate collection efforts.
  • Prepare report on delinquent customer account status stating age of debt, outstanding amount, collection efforts made, etc.
  • Research and resolve payment discrepancies, escalating findings as necessary
  • Work with the sales team to reconcile accounts receivable on monthly basis and when required.
  • Maintain well-organized customer files for easy retrieval.
  • Develop and implement collection strategies for overdue accounts.
  • Ensure withholding VAT and withholding tax certificates are collected on time and filed.
  • Deposit daily cash/cheque collections and prepare monthly bank reconciliation.
  • Investigate and resolve any customer queries related to customer accounts.
  • Maintain an organized and comprehensive filing system with documentation of schedules, forecasts, reports and tracking logs.
  • Perform any other tasks as requested by management.

Required Skills or Experience

Qualification/Skills

  • A minimum of BSc. in Finance & Accounting from a well-established college/university, with not less than 3 years’ experience in the field.
  • ACCA/ICA membership is a required
  • Must possess excellent analytical skills with strong work commitment and be able to multi task.
  • Knowledge in general accounting and bookkeeping principles.
  • Good Computer skills and knowledge of Property Management and Accounting Systems – Sage 300, Opera PMS, Simphony and advanced MS Office suite.
  • Excellent verbal and written English communication skills.
