Job Description

We are seeking a proactive and detail-oriented Finance and Admin Officer to support the smooth running of our hostel, restaurant, and craft shop. This role involves managing financial processes, coordinating administrative tasks, and ensuring high service standards across departments.

Key Responsibilities

FINANCE

  • Monitor/review daily expenses, and maintain organised, well labelled accounting files.
  • Review and validate weekly cash and bank transactions.
  • Import expenses into the accounting software and reconcile entries.
  • Perform weekly account closure and generate reports.
  • Prepare accurate schedules for tax returns (VAT, levies, and withholding taxes).
  • Conduct and document weekly stock counts.

ADMINISTRATION/RECEPTION

  • Collaborate with the Manager to ensure timely renewal of all licenses and permits.
  • Coordinate with all units (housekeeping, maintenance, F&B, etc.) to ensure resources are available for smooth daily operations.
  • Supervise front desk activities by gaining in-depth knowledge of systems and ensuring SOPs compliance.
  • Maintain up-to-date and accurate records of guest information for regulatory purposes.
  • Develop a thorough understanding of room categories, pricing, and other hostel services to provide accurate responses to enquiries.
  • Where required, handle reservations, walk-ins, check-ins, check-outs, and payment processing with excellence in customer service.
  • Ensure all facilities and services (e.g., pool, Wi-Fi, water, power) are operational and accessible.
  • Actively collaborate across departments to maintain seamless operations and resolve issues promptly.
  • Support other departments (breakfast service, housekeeping, bar) as needed.

Required Skills or Experience

  • Experience: 1-3 years
  • Background in accounting, finance, business administration, or a related field.
  • ​Proven experience in finance and administrative roles, preferably within hospitality.
  • Well-organized, proactive, and capable of multitasking
  • Great attention to details and ability to work independently.
  • Strong grasp of accounting software and reservation systems.
  • Team-oriented with a guest-first mindset
  • Excellent communication and problem-solving skills.
  • Willing to work flexibly including night shifts, some weekends and statutory holidays.
